New office IT setup

Move into an office where everything works on the first morning

Connectivity, cabling, Wi-Fi, phones, security and the move-day plan, handled by one team and started before the lease is signed.

In short

Dig IT Solutions plans and delivers the IT for new offices and office moves across Hertfordshire, west Essex and London: checking connectivity before you sign, ordering lines early, surveying the building, installing structured cabling and Wi-Fi, porting phone numbers, configuring security and running move day so staff sit down to working systems.

The usual problems

How office moves go wrong

  1. 01

Lease signed, no internet for eight weeks

Leased lines and new fibre installs have lead times measured in weeks. Discover this after signing and the move date slips or staff work off phone hotspots.

  2. 02

    Nobody surveyed the building

Thick walls, no cabinet location, not enough power, Wi-Fi dead spots and cabling routes that clash with the fit-out.

  3. 03

Phones and numbers left until last

Number porting has its own lead time. Miss it and customers ring a dead line on the first Monday.

  4. 04

    Old office decommissioned badly

Data left on old kit, contracts not cancelled, and a server in a van with no backup.

Scope

What we take care of

  • 01

    Site survey

Cabinet location, cable routes, Wi-Fi coverage, power, and how the landlord's connectivity actually arrives in the building.

  • 02

    Connectivity ordered first

Leased line, FTTP or business broadband ordered as soon as the lease is agreed, with a 4G or 5G interim if lead times threaten the date.

  • 03

    Structured cabling and Wi-Fi

Cat6 or Cat6a to every desk and meeting room, patch panel and cabinet, UniFi or Meraki access points placed from the survey.

  • 04

    Phones and numbers

Number porting scheduled, cloud phone system provisioned, handsets and softphones ready on day one.

  • 05

    Security from day one

Firewall configured to standard, guest and staff networks separated, CCTV and door entry on their own VLAN where required.

  • 06

    Move-day plan and decommissioning

Sequence for the last day and first morning, data securely wiped from retired kit, old contracts closed.

Timeline

The timeline that works

  1. 01

    Before you sign

Check connectivity availability and lead times for the address. This one call can change which office you take.

  2. 02

    Eight weeks out

Order connectivity, survey the building, design cabling, Wi-Fi and phones, agree the fit-out timetable with contractors.

  3. 03

    Two to four weeks out

Cabling installed and tested, cabinet built, firewall and Wi-Fi staged, phones provisioned, staff briefed.

  4. 04

    Move weekend and day one

Systems brought up in order, every desk tested, an engineer on site for the first morning, old site decommissioned.

Built from nothing

The Hertfordshire Golf & Country Club: a modern network inside a 16th-century mansion

The Hertfordshire Golf & Country Club at Broxbournebury Mansion, Broxbourne, needed an entire network built from nothing across a large, diverse site whose Grade II listed clubhouse made traditional cabling impractical. Dig IT Solutions designed a UniFi-based network, mesh Wi-Fi, guest access and a camera system, and has supported the club for over five years.

FAQ

Questions we are asked

Straight answers. If yours is not here, call 020 8482 4020 or 01992 939 365 and ask an engineer.
How far in advance should we involve IT in an office move?
Before the lease is signed if at all possible. Connectivity lead times are the single biggest risk to a move date, and checking availability at a prospective address takes a day. Eight to twelve weeks before the move is the minimum for a smooth project.
What if the leased line will not be ready in time?
We put in an interim connection, typically business broadband or a 4G or 5G router, sized for the team, and cut over to the leased line when it arrives. Staff keep working; it is not ideal, but it is planned rather than panicked.
Can you work with our fit-out contractor?
Yes, and it is far better if we do. Cabling routes, containment, cabinet location and power need agreeing with the fit-out plan. We attend site meetings and coordinate so nothing has to be reopened after the walls are finished.
Do you handle the old office too?
Yes. Retired equipment is data-wiped or securely destroyed with a record, connectivity and phone contracts are closed on the right dates, and anything moving is backed up before it goes in the van.
How much does a new office IT setup cost?
It is quoted fixed-price after the survey and depends on the number of desks and cable runs, the Wi-Fi and firewall specification, phones and any CCTV. Hardware and labour are shown separately. Ongoing support of the new site can then be added to a managed agreement.
