How far ahead should we plan IT for an office move?
Start as soon as you're serious about a building, ideally three months before the move. The critical path is connectivity: a leased line can take several weeks or longer to install, and even FTTP orders slip. Cabling and Wi-Fi need access to the site before your furniture arrives. How long does a leased line take to install?
It depends on whether fibre already reaches the building. Where it does, a few weeks is typical. Where excavation or wayleaves are needed, it can be considerably longer. The safe approach is to order the moment the lease is confirmed and arrange a 4G/5G or broadband fallback in case the date moves. We manage the order and chase the provider on your behalf.
Can we keep our phone numbers when we move?
Yes. Cloud phone systems such as 8x8 are location-independent, so numbers simply follow you. If you're still on a traditional line, an office move is the right moment to port the numbers to VoIP, particularly with the PSTN switch-off scheduled for January 2027. We handle porting so there's no gap in incoming calls.
Who moves the servers and IT equipment?
We do, or we supervise it. Servers, network cabinets and firewalls should be shut down, transported and restarted by engineers, with a verified backup taken first. Workstations and monitors can go with the removals company if labelled and packed properly, and we reconnect and test them at the new site. Where possible we move servers to the cloud before the move so there's less to carry.
What should we do with the old office IT?
Cancel lines and services with the correct notice, remove or hand over cabling and cabinets as the lease requires, securely wipe any equipment being disposed of, recycle through a licensed recycler, and update your asset register. It's easy to forget the old site once you've moved, which is why decommissioning is a defined stage in our plan with its own checklist.
